Working with a downloaded batch report
Keep supplier references alongside an EORI batch report
Your supplier reference belongs to your original list. The current EORICheck batch export does not carry a supplier_reference column through to the report. Keep that list alongside the export and compare them before using a result.

Keep the original
Save an unchanged copy of your supplier list, including your internal reference and EORI column. Keep the exact file submitted to the batch tool too, if it differs from that original.
Compare input and row
Check the exported input against the submitted EORI value, and input_row against its physical line in the submitted file. Treat a row number as a cross-check, never as supplier identity.
File both together
Keep the original list, the exact submitted file and the downloaded report together. Preserve the report's source, checked_at_utc and generated_at_utc so its context remains visible.
What belongs to each file
The export records the submitted EORI input and its result context. It does not join that result to your supplier master data or certify who supplied the number.
| Keep in your original list | Read in the CSV report | What to check |
|---|---|---|
| Internal supplier reference | No supplier-reference column | Preserve the reference in your own file. Do not assume the export retained it. |
| Submitted EORI cell | input and queried_number | Compare the input; inspect the normalized queried number where present. An error row may have no queried number. |
| Physical line in the submitted file | input_row | Use the exact submitted file. Headers, blank lines and quoted multiline cells affect physical line numbers. |
| Your review notes | result, source, checked_at_utc | Read the result and available context, including errors. Do not replace missing evidence with an assumed match. |

A reference stays in the original
Imagine a simple file with a header on physical line 1. Line 2 contains your reference SUP-EXAMPLE-A and a placeholder EORI labelled [EORI A]. The report points to input_row = 2 and the corresponding input, but it does not contain SUP-EXAMPLE-A.
Before recording a result against that reference, compare the EORI input and the physical line with the unchanged submitted file. If you sorted a copy after submission, row 2 of that copy is no longer a reliable comparison. Return to the submitted file.
The labels above are illustrative, not real EORI numbers or query results. No supplier was checked for this example.
Stop when the correspondence is uncertain
- The list was sorted, filtered or edited and you cannot recover the exact submitted version.
- The same EORI appears more than once, or the report marks a duplicate. Resolve the repeated entries before attaching results to supplier references.
- The EORI differs, is missing or has an input error. A similar supplier name does not resolve the discrepancy.
- The row is incomplete or has no usable result. Keep the error and check its cause instead of treating it as a successful validation.
A checksum does not authenticate a supplier. The report's hashes support integrity checks; they do not establish who owns an EORI, who sent the file or whether a supplier should be approved.
Scope of this checklist
This is a manual preparation and filing guide for the existing batch workflow, not an automated reconciliation feature. The field descriptions reflect EORICheck's CSV export as reviewed on 30 October 2026. If your downloaded report has changed, compare its actual columns before following the checklist.
